About This Policy

This Cancellation and Refund Policy explains what happens when a confirmed trip with Go Wild Expedition is cancelled by the traveller.

It applies to treks, sightseeing tours, vehicle tours, family holidays, honeymoon trips, package tours, and other travel services booked through us.

Refunds depend on how early the cancellation is made and whether money has already been used to arrange the trip.

Cancellation More Than 30 Days Before the Trip

If you cancel more than 30 days before the scheduled start of the trip, you may receive a full refund of the amount paid.

A full refund is possible only when Go Wild Expedition has not already used or committed the payment for your trip.

For example, a full refund may not be possible if we have already paid for a hotel, vehicle, permit, trek supplies, or another service on your behalf.

Any amount that cannot be recovered from an outside provider may be deducted from the refund.

Cancellation Between 16 and 30 Days Before the Trip

If you cancel between 16 and 30 days before the trip, up to 50 percent of the amount paid may be refunded.

Any cost that has already been paid or committed for your trip may also affect the final refund.

This may include hotel deposits, vehicle bookings, permits, staff arrangements, food, trek supplies, or other services prepared in advance.

The refund will therefore be based on the amount that can still be recovered after these costs have been taken into account.

Cancellation 15 Days or Less Before the Trip

If you cancel 15 days or less before the scheduled start date, no cash refund will normally be available.

This includes cancellations made one week before the trip, within 24 hours, or on the day the trip is due to start.

By this stage, hotels, vehicles, staff, permits, food, equipment, or other services may already have been booked or prepared.

These costs often cannot be recovered.

Last-Minute Cancellation Due to Unavoidable Circumstances

We understand that a serious and unexpected event can sometimes make travel impossible.

If you have to cancel at the last moment because of an unavoidable circumstance, Go Wild Expedition may provide a trip voucher instead of a cash refund.

The voucher can be used toward a future trek or other eligible trip with Go Wild Expedition.

The value of the voucher may depend on the amount that remains after any costs that have already been paid or committed for the original trip.

The new trip will also depend on availability, current rates, permits, and other conditions at the time it is booked.

Hotels, Vehicles, and Other Advance Bookings

Some services must be booked before the trip begins.

This may include hotels, vehicles, guides, permits, transport, or other travel arrangements.

If an outside provider has already received payment and does not return it, Go Wild Expedition cannot refund that part of the booking.

We will not charge a traveller twice for the same service. Any deduction will relate only to a real cost linked to the booking.

Trek Supplies and Advance Preparation

Treks often require more preparation than ordinary sightseeing tours.

Food, fuel, staff, equipment, transport, camp supplies, and other items may need to be arranged before the group leaves.

If supplies have already been bought or arrangements have already been paid for, those costs may not be refundable.

This is one reason why late trek cancellations may result in little or no cash refund.

Transaction and Payment Charges

A refund may be subject to bank, payment gateway, UPI, or other transaction charges.

These charges depend on the payment method and the service provider involved.

If a payment provider does not return its processing fee, that amount may be deducted from the refund.

Go Wild Expedition will refund only the amount that is actually refundable after such charges and other valid deductions.

How Refunds Are Calculated

Where a refund is available, we look at the amount paid and the costs already committed to the trip.

The calculation may include:

  • money already paid to hotels, vehicle providers, or other outside services;
  • trek supplies or other items already purchased;
  • permit or service costs that cannot be recovered; and
  • payment processing charges where they are not returned.

Only real costs linked to the booking will be taken into account.

Refund Method

An approved refund will normally be returned through a suitable payment method.

The method may depend on how the original payment was made.

Bank or payment service processing times may apply after Go Wild Expedition has approved and sent the refund.

Refunds After a Trip Has Started

Once a trip has started, services may already have been booked, purchased, or put into use.

A traveller who leaves the trip early may therefore not receive a refund for unused days or services that have already been paid for.

This may apply where a traveller leaves because of personal reasons, illness, a change of plan, or another reason not caused by Go Wild Expedition.

Where any unused service can still be cancelled and the amount recovered, we may consider that amount when reviewing the case.

Health and Safety Decisions During a Trek

A guide may ask a trekker to stop or return if there are clear signs of illness, poor health, altitude problems, or another safety concern.

Such a decision is made for safety.

A trekker who has to return for health or safety reasons should not assume that the unused part of the trip can be refunded.

By that stage, staff, food, equipment, camps, permits, and other trek costs may already have been arranged for the full trip.

Where appropriate, Go Wild Expedition may review the case and see whether any unused cost can still be recovered.

No-Show or Failure to Join

If a traveller does not arrive for a confirmed trip and gives no timely cancellation notice, the booking will be treated as a no-show.

A no-show does not qualify for a cash refund.

The same rule may apply if a traveller arrives too late to join a service that has already left or can no longer be provided.

Changing the Travel Date

If you cannot travel on the original date, contact us as early as possible.

A date change may be possible if hotels, vehicles, permits, staff, and other services can be moved.

A new date is not guaranteed.

Extra costs may apply if the new booking has a different rate or if an outside provider charges a fee to make the change.

Very late requests may need to be handled through a trip voucher instead.

Requesting a Cancellation

Please contact Go Wild Expedition as soon as you know that you need to cancel.

Your cancellation should clearly identify the booking and the traveller concerned.

The date on which we receive the cancellation request will be used to decide which refund rule applies.
