About This Booking Policy
This Booking Policy explains how a trip or service is booked with Go Wild Expedition.
It applies to treks, sightseeing tours, vehicle tours, family holidays, honeymoon trips, package tours, and other travel services arranged by us.
This policy deals only with the booking process. Cancellation and refund rules are covered separately.
How to Make a Booking
You may contact Go Wild Expedition through the enquiry or booking forms on our website.
You may also contact us by phone, WhatsApp, email, or our official social media pages, such as Facebook or Instagram.
An enquiry does not confirm a booking.
We may first need to discuss your travel dates, group size, route, hotel needs, vehicle, trek, or other parts of your trip.
Once the details are clear, we may send you the proposed plan, cost, payment details, or other information needed to proceed.
When a Booking Is Confirmed
A booking is confirmed only after Go Wild Expedition receives the required advance payment.
You may also choose to pay the full amount at the time of booking.
A verbal discussion, phone call, social media message, WhatsApp chat, or enquiry form does not confirm a booking unless the required payment has been received and we have accepted the booking.
After payment is received, we may confirm the booking through email, WhatsApp, message, receipt, invoice, or another written form.
Until confirmation is given, availability may change.
Advance Payment
The advance amount may depend on the type of trip and the services that must be arranged.
For example, some trips may require hotels, vehicles, permits, guides, staff, or other services to be reserved in advance.
The amount required to confirm your booking will be told to you before payment.
If any balance remains after the advance, the amount and payment time will be shared with you as part of the booking arrangement.
Payment Methods
Payment may be made through the payment method offered by Go Wild Expedition at the time of booking.
This may include bank transfer, Net Banking, UPI, GPay, or cash payment at one of our offices.
Where an outside bank or payment service is used, that provider handles the payment through its own system.
Go Wild Expedition does not require customers to place confidential banking details into a normal website enquiry form.
Information You Give Us
You must give correct information when making a booking.
The details needed will depend on the trip.
We may ask for your name, phone number, email address, travel date, number of travellers, destination, or other details needed to plan the service.
Some trips may also require identity or permit details.
Please make sure that the details you provide are correct.
Wrong or incomplete information may cause delay or problems with hotels, transport, permits, or other arrangements.
Group Bookings
One person may make a booking for a group.
That person should make sure that the details given for each traveller are correct.
The main contact should also share important trip information with the rest of the group.
Each traveller remains responsible for meeting the health, document, permit, and safety needs that apply to the trip.
Check Your Booking Details
Please check the booking details after you receive them.
Look at the travel date, destination, number of guests, itinerary, hotel, vehicle, trek, and any other service that has been agreed.
If you see a mistake, tell us as soon as possible.
It is much easier to correct an error before hotels, permits, vehicles, staff, and other services have been arranged.
Changes Before Confirmation
You may ask us to change a proposed trip before the booking is confirmed.
A change may affect the price, route, hotel, vehicle, trek, or other service.
We will tell you if the requested change is possible.
A new price may apply if the services or travel plan change.
Changes After Confirmation
You may ask for a change after your booking has been confirmed, but we cannot promise that every change will be possible.
Hotels may already be booked. Vehicles may already be assigned. Guides or staff may have been arranged. Permits may also have been processed.
A change may therefore depend on availability and the type of service involved.
If the requested change creates an extra cost, that cost may be added to the booking.
Last-Minute Changes
Do not leave important itinerary changes until the last moment.
As a general rule, itinerary changes may not be possible within 24 hours of the planned start of the trip.
This is especially important for treks and routes that need permits, staff, transport, camp arrangements, or other advance work.
A request made within 24 hours may therefore be refused if the arrangements can no longer be changed.
Higher Trekking Zones
A trek to a higher zone cannot simply be added or changed at the last moment.
Higher-altitude routes may require permits, guides, staff, food, equipment, camp arrangements, transport, or other preparation.
A traveller cannot arrive for one route and demand a different high-altitude route without prior approval.
Go Wild Expedition will decide whether a route change is possible based on safety, permits, time, weather, staff, and other practical conditions.
Booking Availability
A requested hotel, vehicle, trek, guide, route, or other service may not always be available.
We may decline a booking if the service cannot be arranged safely or properly.
We may also suggest another date, hotel, route, vehicle, or service where the first choice is not available.
No specific service should be treated as reserved until the booking has been confirmed.
Prices Before Confirmation
A price given during an early enquiry may depend on the details available at that time.
The final cost may change if you change the travel date, number of guests, hotel type, vehicle, route, trek, length of stay, or other service before confirmation.
Outside costs may also change before a booking is confirmed.
We will tell you the applicable booking price before asking you to confirm the trip.
Once a booking has been confirmed, any later price change will normally relate to a change requested by the traveller or another cost that could not reasonably have been included earlier.
Children and Family Travel
Families are welcome to travel with Go Wild Expedition.
The right trip should be chosen for the age and ability of each child.
For general tours, an age of 6 years and above is recommended.
Low-altitude activities may also be suitable for younger children where the route and level of walking are appropriate.
For trekking, an age of 12 years and above is generally recommended. High-altitude treks also require suitable health and fitness.
A family travelling with an infant should choose a trip that does not require trekking or long walks. Vehicle sightseeing in towns, cities, and other suitable areas may be a better choice.
A parent or guardian is responsible for choosing a suitable trip for a child.
If you are unsure whether a trip is suitable, speak with us before confirming the booking.
High-Altitude Trek Bookings
A person booking a high-altitude trek must consider his or her own health and fitness before confirming the trip.
The trekker should have proper medical clearance from a doctor.
Booking a trek does not mean that Go Wild Expedition has certified that a person is medically fit.
The safety rules for high-altitude travel, including the guide’s right to turn a trekker back for health reasons, are explained in our Travel Disclaimer.
Special Requests
You may tell us about a special request before the booking is confirmed.
This may include a hotel preference, vehicle request, room need, food preference, or another reasonable request.
We will try to help where possible.
A request is not guaranteed unless we clearly confirm that it forms part of the booking.
Services Provided by Other Businesses
A trip may include services supplied by hotels, transport providers, drivers, or other independent businesses.
Their availability may affect whether we can accept or change a booking.
Go Wild Expedition may make arrangements with these providers on your behalf as part of the trip.
Cancellation and Refunds
Cancellation and refund rules are not set by this Booking Policy.
If you cancel a confirmed booking, the separate Cancellation and Refund Policy will apply.
Any amount that may be refundable will be decided under that policy.
Travel Risks and Safety
This Booking Policy does not explain the risks of trekking or travel.
Health, altitude, rescue, weather, road conditions, insurance, guide authority, and other travel risks are covered in our Travel Disclaimer.
Please read that page before booking a trek or other activity that involves added physical or travel risk.
Acceptance of the Booking Policy
By paying the required advance or full booking amount, you confirm that you have read and accepted this Booking Policy.
You also confirm that the booking details you have given are correct to the best of your knowledge.
