Welcome to Go Wild Expedition. These terms and conditions explain the agreement between you (the traveler) and us (Go Wild Expedition), a travel and trekking company based in Sikkim. By booking a trip with us, you agree to everything stated here.

We have written this document in plain, simple language so that everyone—whether you are booking your first trek or your tenth—can read and understand what to expect.


1. Booking Your Trip

To book a trip with us, simply contact us by email or through any official booking channel we use. Once you choose a tour, we will send you a detailed itinerary along with the total cost and payment steps.

Your booking is confirmed only after we receive the required deposit and send you a written confirmation. Please check that your name, contact details, and travel dates are accurate in the confirmation we send you. It is your responsibility to inform us immediately if there are any errors.

If you have any special requests or requirements—such as dietary needs, medical conditions, or room preferences—let us know while booking. We do our best to accommodate, but we cannot guarantee every request.


2. Payments and Deposits

To secure your place on the trip, we ask for an advance payment equal to thirty percent of the total cost. This amount confirms your participation and allows us to begin necessary preparations such as permits, bookings, and logistics.

The remaining balance must be paid no later than 30 days before the tour begins. For bookings made within 30 days of departure, full payment is required at the time of booking.

We accept bank transfers, UPI payments, and other secure online methods. Payment instructions will be clearly mentioned in your invoice.

If the balance payment is not received on time, we may cancel your booking without notice, and the deposit will be forfeited.


3. Cancellations and Refunds

If You Cancel:

We understand that plans can change. If you need to cancel your trip, you must inform us in writing by email. The cancellation charges will be as follows:

  • If you decide to cancel your trip over two months in advance, we will return the full amount you have paid so far, excluding the initial advance which is non-refundable.
  • 30 to 59 days before departure – 50 percent refund of the total tour cost
  • 15 to 29 days before departure – 25 percent refund of the total tour cost
  • 14 days or fewer (or if you do not show up) – No refund

If your cancellation qualifies for a refund, we will begin processing it promptly and aim to complete the transfer within ten business days from the day we confirm your request.

Please note: We are not responsible for expenses paid outside our services, such as domestic flights, hotel bookings, or third-party activities.

If We Cancel:

In rare circumstances—such as natural disasters, landslides, strikes, political unrest, or if minimum group numbers are not met—we may cancel a trip. If that happens, we will give you the option of:

  • A full refund of all payments made to us
  • Transferring your booking to another date or tour of equal value

We cannot be held responsible for any indirect losses you may face, such as flight cancellation charges or missed connections.


4. Changes to Your Booking

If you want to make changes to your trip (change dates, switch routes, add services), contact us as early as possible. We will do our best to accommodate the request, but additional charges may apply if arrangements are already in place.

If we need to make changes to your itinerary—due to weather, safety concerns, road conditions, or government restrictions—we will inform you at the earliest. Minor adjustments such as change of vehicle, hotel, or route are not considered cancellations and will not result in a refund.

In the unlikely event of a major change (like shifting your departure date or canceling a key part of the tour), we will offer you a revised itinerary, a refund, or a tour credit for future use.


5. Travel Insurance Requirement

Travel insurance is not optional. It is mandatory for all our clients. Your insurance should cover emergency evacuation, medical expenses, personal injury, theft, loss of luggage, and trip cancellations.

You will need to show proof of insurance before your trip begins. If you do not have valid insurance, we reserve the right to cancel your participation, and cancellation terms will apply.


6. Your Responsibilities as a Traveler

You are responsible for your own safety, preparation, and behavior. This includes:

  • Ensuring you are physically fit for the trip. Trekking at high altitude is demanding.
  • Carrying correct and valid identification (Aadhar card, passport, permits, etc.)
  • Informing us of any allergies, illnesses, or medical history before departure
  • Respecting local culture, nature, guides, and fellow travelers
  • Following all safety instructions given by your guide or team leader

If your behavior is disruptive or dangerous, we may remove you from the group without refund.


7. Our Commitments to You

We promise to deliver the services listed in your final itinerary to the best of our ability. This includes providing experienced guides, reliable logistics, safe transport, and clean accommodations.

However, many things in the mountains are outside our control—like weather, landslides, or local protests. When these situations arise, we will make decisions in your best interest, even if it means altering the original plan.


8. Limitation of Liability

When you sign up for one of our journeys, you acknowledge that travel in remote and rugged regions carries certain risks. These may include health issues, delays caused by weather or road conditions, high-altitude effects, or unexpected incidents beyond anyone’s control.

Go Wild Expedition is not responsible for:

  • Medical emergencies or accidents that occur during the trip
  • Services provided by third parties (like hotels or vehicle rentals)
  • Changes in itinerary caused by force majeure or personal circumstances
  • All types of loss or expense arising from your failure to follow rules or local law

Our total liability is limited to the amount you paid us for your trip.


9. Force Majeure

Events like earthquakes, floods, strikes, road closures, pandemics, or government restrictions are beyond our control. If these events affect your trip, we will try to reschedule or offer credit, but we cannot guarantee refunds.


10. Use of Images and Video

Sometimes, we take group photos or videos during tours. We may use these for our website, social media, or brochures. If you do not want your image used, please tell us in writing before the trip begins.


11. Complaints and Feedback

If something goes wrong during your trip, inform your guide or group leader immediately. In many situations, concerns can be addressed quickly when brought to our attention. If an issue remains unresolved, send us a detailed email within 30 days of your trip ending. We take your feedback seriously and will work to resolve your concern.


12. Legal Jurisdiction

These terms are governed by the laws of India, and any legal matters must be settled in the courts located in Sikkim, our home base.
